Privacy notice
Opsy for the Forum · version 2, 7 October 2026 · draft, under review by our data protection officer
This notice explains what happens to your answers when you use Opsy to propose a contribution to the Psychedelic Forum in Maastricht. The short lines before the first question point here.
Who is responsible
OPSY B.V. runs this chat and keeps the proposals. OPSY is the controller of your data under the EU General Data Protection Regulation (GDPR). Psychedelic Maastricht organises the Psychedelic Forum; its program team reads the proposals to decide on the program and to get back to you.
For anything about your data, write to privacy@opsy.me.
What we collect
- Your answers in the chat: what you would like to contribute, what it is about, who it is for, format and length, what it needs, earlier work, and when you could put time in.
- The proposal card made from those answers, and any correction you give.
- If you choose to give them: how you would like to be credited, and one way to reach you (a phone number, an email address or a Telegram handle).
- Whether you want to join the contributors' WhatsApp group.
- A random session id, the time of your answers, whether you typed, tapped or spoke, and a short description of your browser (to fix display problems). We do not store your IP address with your proposal.
We do not ask about your own use of substances, your health or legal matters, and we ask you to leave those out. If something like that is mentioned anyway, it is cut from the proposal record. Please also leave out other people's names.
Why, and on what basis
We use your data to put your proposal in front of the program team, to get back to you about it, and, if you say yes, to add you to the contributors' WhatsApp group. The legal basis is your consent (GDPR article 6(1)(a)), which you can withdraw at any time without giving a reason.
Who handles it for us
| Hetzner Online (Germany) | Hosts the server where your proposal and the conversation are stored. |
|---|---|
| Scaleway (Paris, EU) | Runs the AI that writes the questions and the proposal card. The text of your messages is processed only in the moment, not stored there and not used for training. If you use the microphone, Scaleway turns your voice into text in the same way; the audio is not kept, by them or by us. |
| WhatsApp (Meta) | Only if you join the WhatsApp group. WhatsApp handles the group under its own terms. In a WhatsApp group every member can see every other member's phone number. |
Your data does not leave the EU, except through WhatsApp if you choose to join the group. No analytics or advertising services are used.
Who sees your proposal
The OPSY team and the members of the Psychedelic Forum program team who follow up proposals, through a protected review page. Each team member has their own access key, and every view, export, change and deletion is logged.
How long we keep it
- The conversation itself is deleted 30 days after you confirm your proposal card (or 30 days after you started, if you never got to the card).
- The proposal record is kept until 31 January 2028, after the Forum, and then deleted.
- If you joined the WhatsApp group, only your name and contact are kept after that date, for the group. You can leave the group and ask us to delete them at any time.
Your rights
At the end of the chat you get a record number and two buttons, to export your proposal or to delete it together with the conversation. After you have closed the page, email privacy@opsy.me with your record number and we delete it within 7 days.
You also have the right to access, correct, restrict or object to the processing of your data, and to receive it in a portable format. You can withdraw your consent at any time; this does not affect what was done before. If you think we handle your data wrongly, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), or the authority in your own country.
If you are struggling
A safety check runs on every answer. If it notices you may be in distress, it shows support lines and offers to stop, and a team member is asked to look at the session within 24 hours. The words that triggered it are not copied into the proposal record. In the Netherlands you can call 113 or 0800-0113 (free, day and night). In an emergency, call 112. Elsewhere, findahelpline.com lists free lines in your country.
Changes
If this notice or the opening text changes, it gets a new version number. A text people have already seen is never edited afterwards.
